Inventory reports are an essential part of the letting process. They document the contents, condition of the contents and internal condition of the property itself.

It is quite common for the landlord or letting agent to carry this out themselves, however this may be seen as biased and create a conflict of interests. Due to time contraints it may also be insufficient.
  
IPS provide comprehensive, independent, unbiased and high quality Smart Inventory Reports® (SIR)  to Landlords and Letting Agents across Scotland.
 
With more and more disputes over tenancy deposits occurring the SIR is often the only source of evidence available to the landlord. These are inadmissible as evidence in a dispute resulting in favour being awarded to the tenant in the event that the report submitted is not comprehensive enough. The more comprehensive, detailed and objective the report is the greater the chance of the landlord being successful in the dispute.
 
There are many templates available for use, most agents will have one they prefer, so what makes our Inventory Service any better?
 
Simple, the SIR.
 
If you feel that the template you are currently using is sufficient then by all means read no further. It is however worth considering how well it would stand up in a dispute, as this is ultimately where it could be brought into question.
 
The areas where most fall short are;
 
•Lack of information describing individual items
•Lack of information describing exact condition of items (including photos)
Electronic date tagging on reports and photos (dates can be falsified and courts know this)
•Person carrying out the report is not impartial or has a conflict of interests
 
Our unique SIR report, exclusive software and high standard of training have been developed to eliminate these problems.  All reports are securely stored in PDF format by an external company and once lodged cannot be changed. Reports lodged are randomly checked for Quality Assurance purposes by external auditors ensuring that our high standards are maintained.
 
All of our impartial Inventory Clerks undergo a thorough training course with examination prior to being licensed. They also undergo relevant security checks as part of the licensing process.
